Proposal Coordinator

The Proposal Coordinator is a key player in Athena Technology Group’s Business Development Team. Primary tasks include creating compelling, winning proposals that highlight the strengths of ATG and adhere to corporate branding. The successful Proposal Coordinator candidate will support and lead proposal processes ensuring all submissions align with ATG’s services and values. They will support the processes in creating, managing, and delivering compliant and compelling proposals prior to deadline.

The Proposal Coordinator will collaborate with members of ATG’s Leadership Team and other Subject Matter Experts (SMEs) as needed to ensure proposals are accurate and contain all requested information as outlined by the Request for Information (RFI) and Request for Proposal (RFP) requirements. This is a writing role requiring support for all levels of RFIs and Proposals. This position reports to the Sr. Account Executive.
Essential functions
  • Support overall process of proposal development, from compliance matrix, templates, reviews and submission.
  • Ensure compliance with Shipley methodologies and internal processes to create consistent compliant proposals that are compelling.
  • Ability to support the overall management of the proposal requirements including timeline and necessary review meetings.
  • Ability to support facilitation of proposal focused meetings including kickoffs, review kickoffs, review debriefs, and solutioning meetings, as needed.
  • Ability to organize material and complete proposal development in accordance with instructions and evaluation criteria.
  • Support maintenance of Standard Boilerplate/Content Library to account for updated records, files, and revisions.
  • Edit, standardize, and make changes to material prepared by other writers to ensure compliance with RFP requirements.
  • Support registration with applicable procurement systems to allow successful submission of proposals.
  • Monitor approved RFP notification sites for upcoming and current RFPs.
  • Collaborate with Business Units and SMEs to obtain required content to consistently submit compliant and compelling proposals.
  • When electronic delivery is not an option, ensure proposals are formatted according to required specifications and delivered timely and prior to submission deadlines.
  • Must be detail-oriented and organized with ability to support and follow style guides and branding policies.
  • Proficient in Microsoft Word styles, templates, etc.)
  • Familiar with Adobe products and combining document, as needed.
Education:
  • Bachelor’s Degree Preferred (Business, English, Technical Writing, or related discipline preferred)
Experience:
  • Minimum two (2) years of relevant professional experience preferred in Government Contracting
